Overview
At first activation of Theft Recovery, a temporary access account is automatically created so access can be provided right away. By default, the shared access account will work for 7 days. It is possible to renew this access or revoke it at any time. It is also possible to create additional temporary access accounts for other users with different access durations.
Temporary Access Account Management
To manage temporary access accounts, navigate to the "Temporary Access" tab on a Theft case. This page is where temporary access can be created, renewed, and revoked.
Creating New Temporary Access Accounts
To create a temporary account, it will be necessary to enter a username, access duration, and select the "Case Viewer" role. Optionally, a description of who this temporary account is for can be added. Once the account is created, you may share this information in a few ways:
Magic Link: This link grants instant access by automatically logging in the user. It's designed for quick and hassle-free entry, must be handled with care.
Visitor Login URL & Access Code: Each account receives a distinct URL for personalized access. This link leads directly to the unique login page. Should it be retrieved later, it can be found in the visitor access list. This code acts as a password for account access. This code will be inaccessible after the dialog is closed, as it is a password. Please ensure it's securely communicated to the intended recipient(s).
If user loses the Access Code, they can reset it at any time from the "Temporary Access" page, but it will force the logout of anyone currently logged into the temporary account with Access Code and they will need to log back in with the new one.
Email: Users can invite one or more visitors by email. A message with the magic link, login link, and access code will be sent.
SMS: Users can invite one or more visitors by SMS. A message will be sent with the magic link.
Resetting the Access Code
If user loses the Access Code, they can reset it at any time from the "Temporary Access" page, but it will kick anyone out currently logged into that temporary account with the Access Code and they will need to log back in with the new one.
If a user uses the reset action, they will first be warned about the consequences then provided the share visitor access dialog to quickly reshare access to any temporary users who were kicked out because of the access code change.
Revoking Access
Access will be immediately revoked at the end time for the temporary account. Access can be revoked at any time by users with temporary account management permissions. The status of the access will change to revoked when this happens.
Renewing Access
Active or expired access can be renewed. When renewing, the user will select the new end date and have the option to reshare the access account.
The Benefits of Temporary Accounts
Temporary access accounts are a hassle-free maintenance way to provide temporary access to applications. Every temporary account created will show who created the account, providing easy traceability for temporary users. In addition, if a temporary user has the permission to take any actions, in the audit logs their ID along with the ID of the user who invited them will be stored against that action.
