This feature allows users to transfer an asset from their inventory to another RecovR users outside of their company or location.
In the following article, we will use the term “Seller” to refer to a user who initiates a transfer and the term “Buyer” to refer to a user who receives a transfer. Please note that these do not directly correlate to a specific user role. Both the seller and buyer could be Location Admins, Company Admins, Location Editors, and/or Company editors at their respective Company and Location.
For more background on Transfers, please read the article: Introduction to Transfers of Ownership
Initiating a Transfer
Users can initiate a transfer of Equipment or Locators (individually or in bulk) from their respective pages within a Company or Location. Please note that users cannot transfer equipment and locators simultaneously.
A user can access the actions menu by clicking the checkbox on the item(s) row in the table and selecting the actions menu (︙) at the top of the page and selecting "Transfer Ownership". They can also access the actions menu by right-clicking on the item in the table, but this will only work to transfer an individual item.
This will open a dialog to enter the username of the buyer (i.e. the user to transfer the Equipment or Locator to) and a message to the buyer. This message will appear in the email notification that is sent to the buyer to inform them of the incoming transfer.
Note: The buyer user must already exist in the system at the time of initiating the transfer. The system will validate that the user exists and will prevent from moving forward if the user does not exist.
Next, click "Initiate Transfer" . This will process the transfer and return a success toast once initiated successfully.
Once a Transfer has been initiated successfully, a few things will happen:
The seller will now see a Transfer record with the status "Transfer Pending" and type "Outgoing" within the Transfers tab within their Location or Company
The Equipment(s) or Locator(s) will remain in the seller’s main inventory while the transfer is pending
The buyer will receive an email and/or a SMS notification that they’ve been sent a transfer and to open the UI to accept it
Note: The buyer user must have email and SMS notifications enabled on their account to receive respective notifications.
The next time the buyer logs into the UI, they will see a new Transfer Record in the Transfers tab in the top navigation of the UI with the transfer type Incoming and the transfer status Transfer Pending
Note: The buyer will not see a Transfer record in the Transfers tab within their Location until they have accepted the transfer and tied it to the corresponding Location
Accepting or Rejecting an Incoming Transfer
When the buyer clicks on the "View Transfer Details" link in their email or SMS notification, they are taken to the Transfers screen within the UI where they can then see the Transfer record and either accept or reject the asset.
Transfer Validation
There are a few validation checks in place to prevent incorrect Transfers of Locators. Locators must meet the following criteria:
Equipment being transferred must have a paired Locator
Locator must have a Heartbeat within the last 7 days or be an un-activated Locator ( no last Heartbeat exists)
Locator cannot currently be paired to an Equipment. In case of paired devices, Transfers should be initiated from Equipment, not the Locator.
Locator cannot already have a Transfer currently in progress
If any items being transferred violate these requirements, the following error message will be shown when the user clicks "Transfer Ownership". The user's only option is to Exit the error window and resolve the error on unselect the invalid Locators before continuing.
Accepting a Transfer
To accept a transfer, the buyer will perform the following:
Select the incoming asset they wish to accept
Access the actions menu with the asset selected. They can access the actions menu by clicking the checkbox on the asset’s row in the table and selecting the actions menu (︙) at the top of the page. They can also access the actions menu by right-clicking on the asset
From the actions menu, select "Accept Transfer"
Designate the Location that the transfer should go to. This drop down will show all locations that the logged in user has permission to
Choose to enable or disable data sharing
Note: that this can be changed at any point by editing the asset after the transfer. When data sharing is enabled, the seller can view data about the asset and it will appear in the seller’s shared assets view.
Note: the accept, reject, Location assignment and data sharing settings apply to all Equipment or Locators under the Parent Transfer. There is currently no option for users to partially accept a transfer, assign Equipment to various locations, etc.
The accepted Equipment or Locators will appear in the buyer’s location. The status of the transfer record will be updated to "Transferred". This update is made visible to the buyer and seller. The record will also be updated with a timestamp as to when the transfer was completed
Rejecting a Transfer
To reject a transfer, the buyer will perform the following:
Select the incoming asset they wish to reject
Access the actions menu with the asset selected. They can access the actions menu by clicking the checkbox on the asset’s row in the table and selecting the actions menu (︙) at the top of the page. They can also access the actions menu by right-clicking on the asset.
From the actions menu, select "Reject Transfer"
Confirm the rejection of the asset
The rejected transfer is considered to be complete. Since the asset was not accepted into the buyer’s inventory, it is returned to the seller’s inventory and does not change ownership. The transfer record’s status is updated to "Transfer Rejected" and the timestamp for when the transfer was completed is updated. The buyer will be able to see these updates.
